Below are step-by-step instructions for advisors on how to:
- Access Student Planning
- Submit and verify Advisement Complete (clear a student to register)
- E-mail all your advisees as a group
- What to do if your advisee list looks inaccurate
Access Student Planning
- Click on Hornet HQ from the Hornet Hive (in the left column under Resources)
- Sign in using your KNET login and password
- Click on Advising
- This will bring up a list of all your current advisees
- To see details on a specific advisee, click on an individual name
- You will see links for Course Plan (current and planned courses), Progress (degree audit), Test Scores, Unofficial Transcript, and more.
- IMPORTANT: If you use the “Notes” feature in Student Planning, you must do so carefully. Anything you enter here will become part of the student’s permanent academic record and is viewable by the student, you, and any future advisors. There are no automatic notifications between advisors and students when notes are entered. Appropriate entries for notes include things such as what study abroad programs or majors the student is thinking about or comments about suggested course sequencing. Do not include any persona/private information, opinions, or judgments.
How to Submit and Verify Advisement Complete
Students are required to meet with you before being cleared to register for the next term. Please finish the Advisement Complete process while you are meeting with them – otherwise it is easy to forget!
Reminder: As of Winter 2019, the previous process of ending an Advising Hold with a date in WebAdvisor has been replaced by this much simpler Advisement Complete process in Student Planning.
- Click on Hornet HQ from the Hornet Hive (in the left column under Resources)
- Sign in using your KNET login and password
- Click on Advising
- Click on an individual advisee’s name
- From any screen within Student Planning, click on the “Advisement Complete” button near the top right
- A confirmation box will appear (“Are you sure you want to mark this student’s advisement complete as of [today’s date]?”); click Continue.
- To verify that a student has been cleared to register, go to your list of advisees. Look for the 2nd to last column titled “Last advising date.” The date in that column should be within the range of the current Advising Days session.
E-mail Advisees as a Group (Two Options)
Using Student Planning
- Click on Hornet HQ from the Hornet Hive (in the left column under Resources)
- Sign in using your KNET login and password
- Click on Advising
- Your list of advisees will populate. At the top of the list on the right side, click “E-Mail All My Advisees.”
- An email in your default email program will open with all of your advisees included in the BCC. If you did not want to send a message the group as a whole, either delete individual names from the BCC or use the option below.
Using the Directory
- On the Hornet Hive Portal, click on “Directory” under Resources
- Click on “My Advisees.”
- Your list of advisees will appear.
- At the top of the list, click “E-mail all” (if sending a message to your advisee group as a whole) OR if sending to a subset of your advisees, check individual boxes next to the specific advisees and then click “Email selected” (at the bottom of the list).
- Note: For this feature to work, Outlook must be set-up to allow commas as separators in a list of email addresses.
What to Do if Your Advisee List Looks Inaccurate
If you are missing names or seeing some you don’t expect on your list of advisees in Student Planning, please contact the Registrar’s Office or Lesley Clinard for clarification.
